QR Codes for Schools: Fee Payments and Parent Circulars

Fee collection week at most schools still involves a fair amount of paper — cheques that bounce, cash that needs counting and depositing, and parents who cannot make it to the school office during working hours. A UPI QR code printed on the fee circular gives parents a way to pay from home, at any hour, without a bank visit.

Print it directly on the circular

Rather than sending a separate payment instruction sheet, many schools now print the UPI QR code directly on the fee notice itself, alongside the amount due and due date. A parent reading the circular can pay immediately, without a second document or a follow-up message asking "how do I pay."

Identifying which student a payment is for

This is the one real limitation of a shared UPI QR code — the payment itself does not automatically say which child it is for. Asking parents to write the student's name and class in the UPI app's note or remarks field when paying solves this in most cases, and some schools generate a slightly different code per class or section specifically to make reconciliation easier.

It does not replace your accounting process

A QR code makes the payment step easier for parents, but your school still needs its usual reconciliation process behind the scenes — checking payments received against fee records, generating receipts, and following up on outstanding dues. Think of the QR code as removing friction at the parent's end, not as a full fee management system by itself.

Circulars beyond fees

The same QR code approach works for other school-to-parent communication — a text QR code linking to exam schedules, event permission forms, or the school calendar means a printed notice sent home in a student's bag can carry far more information than the paper itself has room for.
